Job Title: Student Information Systems & Records Coordinator
Location: Student Information Services within Student and Community Services
Teacher Administration Center (TAC), 3215 Cuming Street, Omaha, NE 68131
Reports To: Chief Officer, Student and Community Services
Work Schedule/FLSA Status: 12-month /Exempt
Salary Schedule: Omaha School Administrators Association (OSAA) Level 8 / Salary credit may be awarded for applicable experience. Placement on the salary schedule will follow the applicable summary document.
Anticipated Start Date: no later than August 1, 2025 / prefer the last week in July to provide transition time with the outgoing staff member.
Position Purpose: The Student Information Systems & Records Coordinator plays a vital role in overseeing the integrity, accessibility, and compliance of student data across the district while ensuring FERPA compliance. This position ensures seamless operation of the Student Information System (Infinite Campus) through collaborative partnerships with various departments and leads teams responsible for data quality and student records management.
Essential Performance Responsibilities:
- Function as the primary steward of student data within Infinite Campus, collaborating with cross-departmental teams to ensure effective data integration and integrity.
- Manage and maintain student academic records in compliance with FERPA and institutional policies.
- Supervise staff responsible for data entry, record keeping, and compliance monitoring, which includes monitoring data accuracy, enrollment processes, and timely fulfillment of records requests.
- Coordinate audits, data reporting, and internal reviews related to student records.
- Coordinate the accurate and timely submission of state-required data reports, maintaining alignment with evolving legislative mandates.
- Ensure accurate and timely updates to the student information system (e.g., Infinite Campus).
- Lead efforts to digitize enrollment and update processes, promoting full use of the Campus Parent portal and online forms.
- Ensure the accurate and secure handling of incoming and outgoing student records.
- Respond to subpoenas and legal requests in compliance with FERPA and district policies.
- Oversee archival procedures and long-term data management.
- Develop and deliver regular training on records policies and FERPA regulations to ensure district-wide FERPA compliance.
- Monitor and disseminate updates related to local, state, and federal data privacy regulations.
- Develop and refine internal procedures to enhance data integrity, confidentiality, and operational efficiency.
- Collaborate with academic departments and administration to improve data workflows and ensure regulatory compliance.
- Serve as the primary point of contact for record-related inquiries and requests for student data.
- Provide ongoing professional development for staff on Student Information Systems (SIS) procedures, compliance requirements, and system enhancements.
- Stay informed of upcoming changes in data systems and education legislation that may impact district operations.
Additional Duties:
Performs other related tasks as assigned by the supervisor and other central office administrators as designated by the Superintendent.
Knowledge, Skills, and Abilities:
- Master’s degree in education, Administration, or related field from an accredited college/university is required.
- Experience working in K-12 or higher education institutions.
- Experience in education administration, student records management, or compliance-related roles.
- Experience supervising staff is preferred.
- In-depth knowledge of FERPA and legal standards for handling educational records.
- Ability to manage confidential information with discretion and professionalism.
- Proficiency in student information systems and office software (e.g., Microsoft Office, Infinite Campus)
- Familiarity with database reporting and data quality assurance.
- Strong leadership and team management skills.
- Ability to communicate clearly and concisely, both orally and in writing, ability to communicate well with school personnel, employees, district office staff, families, and community members.
- Ability to work effectively with diverse groups.
- Highly organized, exceptional attention to detail, and skilled at prioritization.
- Ability to conform to proper standards of professional dress and appearance.
- Knowledge of Omaha Public School’s mission, purpose, goals, and the role of the Student Information Services in achieving each of them.
Equipment: This position may require the ability to use basic office equipment such as computers, copiers, scanners, fax machines, as well as office software and student information systems. Must always comply with OPS’s guidelines for equipment use.
Travel: Travel between school and the central office may be required.

Employee Punctuality and Appearance:
- For the school system to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave.
- Any deviation from assigned hours must have prior approval from the employee’s supervisor or building administrator.
- All employees are required to report to work dressed in a manner that reflects a positive image of Omaha Public Schools and is appropriate for their position.
Terms of Employment:
This position is treated as a full-time, exempt certified position. The terms of your employment will be governed by applicable state laws regulating employment or teaching in a Nebraska public school and Board of Education policies, as those laws and policies may change from time to time. If your position is represented by a collective bargaining representative, then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.
Terms of employment are contingent upon:
- Verification of a valid Nebraska Administrator License or other required license.
- A background check that demonstrates the background is acceptable for the position sought and working with or around students.
- Verification of U.S. Citizenship or legal authorization to work in the United States.
- Successful completion of a tuberculosis skin test (if required by federal law for your position).
- Execution and delivery to OPS of an Administrator Contract presented by OPS.
